What’s up everybody, comin’ at ya with another guest blog post and some info that will make your wedding just a little easier on the planning front. I’m really excited to welcome Kingston Wedding Planner, Krista Stechyson to the blog to hit you with the insider scoop on “day of coordination” and what that really means in the big picture of your wedding planning. Krista is the owner of Smart Weddings and Events and is based in Kingston, Ontario. Having worked with her on past weddings, I can honestly say that you at least need to read this article, but moreover, you should probably just let her take care of the nitty gritty details on your wedding day! OK, enough out of me, this is a guest post!

Do you have your wedding planned to a “T” but are now wondering how you are going to make sure all of those details come together on the day? Are you finding the last-minute planning stressful and need some advice and assistance? Are you just realizing that all of those DIY projects you wanted to make yourself the night before the wedding might be a challenge and you may have bitten off more than you can chew?
Not to worry; these are just a few items that a day-of wedding coordinator will assist you with.
Most wedding planners offer a day-of coordination package that can be custom tailored to your wedding. “Day of” is really a misnomer, as these packages generally start about a month before your wedding. At that time you provide the coordinator with your contracts for all of your vendors and all of the plans for the day and allow them to finalize all of the details. They will confirm all of the plans you have made, including timing of deliveries, quantity of rentals and whether there are any balances owing. They will create a timeline for the day and lead your rehearsal.
Having a day-of coordinator will allow you to enjoy your day and not have to worry about all of the details coming together!
Here are some reasons for hiring a day of coordinator for your wedding:
- Peace of mind. There are a lot of moving parts to a wedding and your day-of coordinator will be responsible for managing all of them so you can enjoy your day. The last thing you want to think about on your wedding day is whether the cake arrived on time and if all of your guests got on the shuttle. The coordinator will look after these details so you can focus on the most important task of the day; saying “I Do.”
- Less stress for you. In the month leading up to the wedding the coordinator will be able to assist you with the final preparations and details and can make recommendations to ensure the day runs smoothly. They will be there to confirm the set-up is exactly as you planned and that all of your vendors have arrived and are where they need to be at all times. As a wedding planner and coordinator, my main focus is to always make sure that the couple has the most enjoyable day and to look after any items that might pop up that could cause stress. The bride doesn’t need to know that the best man’s pants ripped … I will just sew them up quickly!
- Allows you to spend time with your guests. On your wedding day you do not want to be running around behind the scenes dealing with timing issues or other logistics that may arise. You should be front and center at your reception enjoying the party! Allowing the coordinator to be the liaison for your vendors – including the MC, DJ, caterer and photographer – ensures all of the cues, like cutting the cake and the first dance, happen exactly as you planned.
- Allows your guests to enjoy the day, too! If you choose not to have a coordinator at your wedding the many tasks involved with pulling the details together don’t go away, but instead fall to a combination of family members and the bridal party. I am sure you would rather have your maid of honour at your side on the dance floor, not setting up the candy buffet and arranging to have all of your gifts sent back to your room. I am certain you don’t want your new mother-in -law to stay up until 2 am to take down your centerpieces because the vases need to be returned the next morning. These and many other responsibilities will be looked after by the coordinator so everyone can kick off their shoes and enjoy the night with you. You have spent months (or years!) planning your big day and you deserve to celebrate with your loved ones and you know they will appreciate being able to enjoy the reception, too!

Whether you’re having a glamourous 400 person reception or a casual backyard tent wedding, having a day-of coordinator there to look after you and all of the details is an essential part of a successful and stress-free day.
When looking for a coordinator always find someone who has plenty of experience and check their references. An in-person meeting is also important prior to signing a contract to ensure that your personalities match and they understand your vision for the day. The coordinator is by your side during the most important day of your life; make sure that you find the right person to guarantee that your wedding is perfect.
